Using Hot Keys

 

All Hot Keys (shortcut keys) must be pressed simultaneously to be effective and will only work in certain windows.   For example, the Editing hot keys will only work if you are editing a transaction.   Some functions have an underlined character in their description.   To activate the function without using the mouse, hold down the ALT key and press the appropriate underlined letter. For example, to activate Print Statements whilst in the Sales command centre, hold down the ALT key and press M .

ISSUE 3 ?? Smarter Processing - Desktop Shortcuts

 

Welcome to Issue 3 of the MYOB Newsletter, today we show you how to create a desktop shortcut for each of your data files which means instead of first opening MYOB then finding the correct data file to open, you can create a shortcut to take you straight to the correct file.   This will be particularly helpful if you work on more than one file i.e. you have more than one business, or where there is more than 1 person working on the same file it will ensure that all people are working on the SAME file and not entering data into different files.

Desktop Shortcuts

 

1.      To create the shortcut; 1 st find the application you wish to open e.g. MYOB Premier 8,   using Windows Explorer or My Computer e.g. Clearwater??s data file in Accounting or Accounting plus will be clearwtr.dat but in Premier will be clearwtr.prm.

 

 

 

2.      Right click on Myobp.exe and click on Send to then click on   Desktop (create shortcut)

 

 

3.      Go to your Desktop and right click on the new shortcut, then go to Properties

 

 

4.      Go to the Shortcut Tab, then look at the Target line it should read C:Premier8Myobp.exe, where C: is the drive you have your software installed on

 

 

5.      You will then need to add some more information into the target line to point to where your data file is located.   You will need to find the location of the relevant data file that you wish to open each time you use this shortcut e.g. Clearwater data file which is located on your c: drive.   The location for this would be c:Premier8clearwtr.prm or if your data file is stored on a network it would be f:Premier8clearwtr.prm if f: is your relevant network drive.   Please note that if you are not using Premier then the data file will end in a .dat and not a .prm.

 

In the target line you need to add the following straight after c:Premier8Myobp.exe

 

space??c:Premier8clearwtr.prm?? so that when you have finished your target line should look like this:-

C:Premier8Myobp.exe "C:Premier8Clearwtr.prm"

 

Once you have completed the target line click on Apply then click on OK.

 

 

6.      You will now have a new desktop icon which is named Shortcut to Myobp.exe.   You need to right click on this icon and then click on rename.   Then change the name to something that means something to you e.g. Clearwater 2004 MYOB file and hit enter.

 

You should now be able to click on this new desktop shortcut and go directly to the data file that you wish to open.

 

 

ISSUE 4 ?? Smarter Features

 

Welcome to Issue 4 of the MYOB Newsletter.  Included are some easier ways of using MYOB to lessen your processing time.  Did you know that MYOB has its own calculator which can be accessed from any number field by pressing the space bar

 

 

It also has its own calendar that can be accessed from any date field by pressing the space bar

 

 

Smarter Data Entry Dates

 

In the date field if the current date is 01-07-04 , just type 05 to change to

05-07-04 or 06-08 to change to 06-08-04 , there is no need to fill in all the spaces.

 

If the current date is 01-07-04 and you wish to increase the date just hit the + key, or alternatively if you wish to decrease the date hit the ?? key as many times as you need.

 

Bank Reconciliation Tip

 

Sort the list by Date or by ID

ISSUE 6 ?? Smarter Banking

 

Sometimes the Bank Reconciliation process in any computerised accounting system when inefficiently done can take up to 10 times longer than it needs to.   It is one of the most important parts of your accounting system as without having all your bank accounts properly reconciled all the work you have put into your file will be wasted.

 

Efficient Processing includes the following

 

  • Write things/Enter things ONLY ONCE   (i.e. do not write up your bank deposit book, then enter the information into MYOB)
  • Best Practice data entry -> Smarter Reconciling
    • Use Undeposited Funds when banking more than once cheque at a time
    • Prepare bank deposit slips from MYOB (this way you will never have to manually write up a bank deposit slip again)

 

 

Managing Different payment types (CC,Cash,Chqs)

 

The following is what we consider NOT to be best practice Banking, but is probably what the majority of MYOB users are doing today

 

1)                  Receive cheques for banking

2)                  Write up bank deposit book

3)                  Go to bank and deposit

4)                  Come back from bank, get deposit book, enter details one by one into MYOB

5)                  Wait to receive bank statement from bank

6)                  Go to bank reconciliation and spend time adding up each entry in the bank reconciliation screen to match the one entry that has been deposited on the bank statement

 

 

Let??s see how much time we can save by using Best Practice Banking

 

1)                  Receive cheques for banking

2)                  Enter those cheques into MYOB using Undeposited Funds

3)                  Prepare bank deposit using MYOB and take to bank

4)                  Download bank statement direct into MYOB from your bank??s internet banking website and enable it to automatically cross check your MYOB file and reconcile automatically all correct entries

 

On a typical MYOB file the time saved between the above two ways of processing your banking is usually around 80% in bank processing and reconciliation time.

  • Have ALL your bank accounts, including undeposited funds and electronic payments been reconciled up to the period or year end that we are reviewing? If not, please ensure that they ARE reconciled before you forward the file to us.   If you require assistance with the bank reconciliation please contact us and we will arrange someone to visit you

The Receivables Reconciliation and Payables Reconciliation reports as at 30 June 2004

  • Do these reports have a nil out of balance amount at the bottom?   If not, Have you identified any issues that still need to be corrected, or adjustments that you would like us to make, for example, due to bad debts

The Inventory Reconciliation report (if relevant).

  • Have you identified any stock issues that you would like us to investigate or correct?

The General Ledger Detail report for the entire financial year, for each Plant & Equipment, Furniture & Fittings, and Director's Loan type accounts.

TIP: If you are using a 2004 MYOB product release, you can use the report filters to select these specific accounts and print the details in a single report.

More time-saving tips

·           Please provide us with your company file password and the version of MYOB you are using. You may want to do this separately from your company file, for example, by calling us directly or sending an email.

TIP: If you are using a 2004 MYOB product release, create a User ID named ??Accountant?? in each of your company files.   For assistance in setting up User IDs, please refer to MYOB Support Note 1555, accessible from http://support.myob.com.au .

·           Send us a backup of your company file, preferably e-mailed or uploaded to your secure area of our website, if not then burned to CD. The filename should indicate the month up to which you have entered transactions, for example, ??Clearwater0604.zip??.

·          Please let us know if you will be working on your company files while we review the files that you send us. This will determine how we will provide you with any journal entries and adjustments after the review

 

 

ISSUE 8 ?? PAYG Payment Summaries

 

MYOB will not let you enter pays after 30 June until you have prepared your Payment Summaries and rolled your file over to a New Payroll Year.

 

However you may find your first payroll run for the new year is fast approaching and you don??t have time to do this.

 

To overcome this problem take two (2) backups of your MYOB file and store them in a VERY safe place.   Then roll over your file to the New Payroll Year and enter your pays.

 

When you get the chance to produce your Payment Summaries use the backup file to do so.

 

Step 1 ?? Check Employee details

 

Ensure your Employee Cards have all the necessary information entered, including:-

 

  • First and Last Name
  • Address (including the state in capital letters)
  • Tax File Number

 

If you have old employee cards showing on your list but are unable to delete their card, go into the profile tab and change them to labour hire status.   This will remove them from the payment summary list.   If you do not change them to labour hire, the magnetic media file will still include details of the employee??s name and tax file number, regardless that there are nil payments to that employee.

 

Review employment dates ?? the employment dates that appear on the payment summaries depend on the dates entered in the employee??s payroll information screen.

 

N.B. Ensure the employee??s correct start date has been entered.   If the employee has been terminated in the current payroll year you will also need to enter the termination date.

 

Step 2 ?? Reconcile gross wages

 

Print your Profit and Loss Statement for the year ended 30 th June, 2005 .   Determine the total wages for the year per your MYOB accounts.

 

Print the Payroll Register (Summary) for the period ??Year to date??.   Determine the total wages for the year per this report.

 

Your total wages figure per the Profit and Loss Statement and Payroll Register (Summary) MUST agree.

 

Why doesn??t it agree?   Check for any wrong postings by doing an account inquiry on your wages account.   Look for any postings that have not been entered through ??Pay Employees??.

 

Ensure that all amounts paid to the ATO in respect of PAYG withholding instalments have been coded to the PAYG Withholding Payable account and not to salaries.

 

Make sure you take into account any allowances posted to accounts other than wages.

 

Step 3 ?? Reconcile PAYG Withholding

 

Add up your total PAYG withholding payments for the year paid on your BAS statements.   Refer back to the Payroll Register (Summary) printed in Step 2.   Note the total amount of PAYG Withholding deducted per wages.   It should agree to the total PAYG withholding payments.

 

Step 4 ?? Printing Reports

 

Print the following reports and file them.   Remember once you have rolled over your file to the new year you will no longer have access to this information:

 

-                      Payroll Register (Summary)

-                      Payroll Activity Summary

Note these reports may look the same but they derive their information from different places

 

And if you track leave entitlements also print:

-                      Entitlement Balance (Detail)

 

Step 5 ?? Preparing PAYG Payment Summaries

 

In the Payroll module, click on the Print PAYG Payment Summaries button.   There are then 3 options to choose from

 

Option 1 ?? Plain Paper Payment Summary ?? Individual Non Business ?? see details below

Use this option if you wish to print your PAYG Summaries directly from MYOB and send a summary of these to the Australian Taxation Office on floppy disk.   Please note the ATO will only accept Payment Summaries on plain paper if you are using the MYOB Accounting Plus Version 11 or later or Premier version 5.02 or later.

 

Option 2 ?? Report Individual Non Business

 

Use this option if you wish to manually complete PAYG Payment Summaries provided by the tax office.

 

Option 3 ?? Labour Hire and other Specified Payments

 

Use this option if you have labour hire and other specified payments.

 

Option 1 ?? Plain Paper Payment Summary ?? Individual Non-Business

 

Complete Steps 1-3 which require you to enter various company information details.

 

Setup Payment Summary Fields (Step 4).   Highlight the Payment Summary field in the table on the left of the window.   Then tick next to the categories in the Select Payroll Categories on the right of the window.   These categories will be included within the particular Payment Summary field.

 

Use the Description column to enter the name of the Union or the Allowance details if necessary.

 

Enter Reportable Fringe Benefit .   You must enter the grossed-up taxable value of fringe benefits received for each employee.   If we have completed your fringe benefits tax return for you, the covering letter will indicate the employee??s reportable fringe benefit to be included on their payment summary.

 

Review Individual Payment Summaries .   Untick any employees you are certain did not receive any form of pay in the payroll year just ended.   (Check your payroll register report if you are unsure).

 

Print 2 copies of the Payment Summaries ?? one to keep on file for 5 years which is your legal obligation.   Alternatively photocopy them before giving them to your employees.

 

Save the EMPDUPE file.   Your file can be saved on PC-formatted floppy disk or CD-ROM.   It must now be sent to the Tax Office along with the Magnetic Media Form.

 

Note:   the EMPDUPE file contains information for all employees regardless of whether you printed a Payment Summary for them.   Hence if you don??t want a particular employee??s information sent to the ATO you will need to go to the Review Individual Payment Summaries window, click on the arrow next to the relevant employee and zero out all the figures.

 

Check the EMPDUPE File Totals   Add up the total tax withheld and the total Gross Payments on the Payment Summaries and compare them to those listed on the MYOB window.   If there is a discrepancy you may have missed one employee when you chose to print the Payment summaries (remember all employees that had payroll activity throughout the year are reported to the ATO ?? so the EMPDUPE totals are probably right).

 

Finalise the Magnetic Media Form and Send   Complete the details on the Magnetic Media form and send the file and form to the address at the bottom of the Magnetic Media form.

 

Forward the PAYG Payment Summaries to the individual employees retaining a copy for your records.

ISSUE 9 ?? New Features in MYOB 2005

 

Keeping your MYOB software up to date not only ensures that we can read your file come tax time, but also gives you the benefits of all the enhancements that MYOB have been working hard on.

 

The current versions of MYOB are Accounting 15, Accounting Plus 15 (if you have payroll) or Premier 9.   There have been significant enhancements and changes in these versions, some of which are listed below

 

·          The data files now end with a .MYO and not a .DAT extension

·          Scroll wheel support is now available

·          The accounts list window has changed, alternate lines are now shaded, the default GST codes are now shown, if the account is a linked account this will be indicated by a tick

·          Bank Reconciliation window now will now give you a warning if you try to enter a bank statement date that is after the current date.   When you tick an item to reconcile it, the line item now changes colour so that at a glance you can see what is reconciled and what is not

·          Recurring transactions.   There have been numerous changes made to recurring transactions to make the whole process easier e.g. you can now skip a period without having to create a new recurring transaction and delete the old one, there are many new options available when creating a new recurring transaction, including the ability to have regularly scheduled bills, invoices, depreciation entries and other scheduled transactions expertly managed from a single location, view your list of recurring transactions, complete with 13 frequencies, post dates and amounts, have your software notify a particular person of the transaction due dates, or authorise your software to record your recurring transactions automatically

·          Changes to the credit limit on sale function have been made so that various options can be preset and can only be overridden by use of a password and also access to the credit limit and hold for customers can be restricted by user.

·          You can now default the sales layout, printed form and invoice delivery method for each customer card.   It is important that after upgrading to the current version that the customer card has a default sales layout done or else you will not be able to see the new features available.   It is recommended that you look at using the import/export XL routine to update this in full, to make this extremely quick.

·          You can now batch email or print your invoices on a certain date or even reprint all invoices to a certain client

·          In Preferences there are new options that should be looked at and explored

·          The changes to Payroll will be discussed in a separate Newsletter

 

 

THE MOST IMPORTANT CHANGE

 

A new feature called the Company Data Auditor, this feature should and MUST be run and any issues fixed before the file is sent to us.   You can rely on the Company Data Auditor to detect issues with your company file before problems arise.   As an easy step-by step assistant, the Company Data Auditor will make certain that:

  • Key accounts like inventory and receivables are reconciled
  • Proper payroll tax tables are loaded
  • Your file is backed up and verified
  • No future dated transactions were entered by accident
  • Key preferences or linked accounts remain unchanged
  • Audit trail tracking system to keep track of changes

ISSUE 10      PAYROLL CHANGES IN MYOB 2005

 

 

Following on from Issue 9, changes in MYOB 2005 we explain the additions and enhancements to Payroll 2005.

 

  • There are new Payroll Linked Accounts which allows for different accounts for cash wages, cheque wages and electronic wages
  • To setup smarter ??batch?? payroll processing, you will need to make some changes to employee cards.   There is now a new Employment Classification section which enables extra reporting features especially on the payslip as per union awards
  • You can now default standard wages and hour for each individual employee which can be overridden if needed at a weekly level
  • You can also default their payment method
  • There is now a drop list of tax tables to choose for each employee including one for a flat rate of tax if the employee has a Withholding Variation Rate from the ATO
  • Annual Leave is much easier to pay with your general pay run, in the select Pay Run screen there is an option to indicate whether what periods you are paying for
  • If you use Timebilling it can now be linked to payroll

 

 

Changes to running a Payroll

 

  • When you now access the Process Payroll feature a new pop-up screen will tell you about some of the changes in more detail
  • Entering the pay run selection has a couple of modifications, being you can now select to run the payroll for just weekly employees or just monthly employees, you don??t need to run the whole payroll at once
  • You can also set the relevant pay period which does not have to be the current date
  • You can preset the date for the payment date of the electronic wages, the review and edit paycheques screen now shows you the net amount of wages to be paid and you can review each payslip from this screen
  • Employee's wages can be programmed to be automatically paid to various different accounts e.g. some to savings account, some to mortgage etc and this information is kept with EACH transaction once recorded and can be overridden for a once-off event if required
  • There is a new process payments screen which allows you to authorise payment of the different payment methods at separate times, this screen also shows you the number of payments under each method

ISSUE 11      DATA INTEGRITY

 

The Company Data Auditor is a new feature under the Accounts command centre.   It is designed to assist you in verifying and finalising your company data file at the end of a period.  We will give you step by step information on this feature in our newsletters over the next few weeks.

 

The Company Data Auditor should be the first place you look when checking the integrity of your data.   From this one central location you can easily see where areas of concern with the integrity of your data may lie.   From here you can directly open up reports or Reconciliation features to fix or view the details of any problems, streamlining your end of period data reconciliation procedures.

 

The company Data Auditor is divided into three areas:-

 

  • Company File Overview
  • Account Reconciliation
  • Data Exception Review

 

In the coming issues we will go through each area in detail starting with:-

 

Company File Overview

 

From the Accounts Command Centre , select Company Data Auditor.   The Company data Auditor window appears showing the Company File Overview.

 

This window provides you with the information that might affect the integrity of your company as a whole, such as whether the latest payroll tax tables are installed, or when your last back up was performed.   Providing this information in one central location saves you time searching for this information yourself.

 

 

This view shows an overview of the status of your company file, with information such as the date the file was last backed up.

 

 

 

 

You can perform important maintenance functions from this  window, such as backing up and verifying your data file, locking periods and loading tax tables.

 

Once you have reviewed your Company File Overview, click Next.   The Account Reconciliation Review appears.

ISSUE 12      DATA INTEGRITY – Account Reconciliation Review

 

Continuing on from last week’s newsletter on the Company File Overview, the Accounting Reconciliation Review is designed to tell you at a glance how accurate your file is like to be.

 

It lists all of the accounts set up as account type bank or credit card , and shows when the last reconciliation of each account was performed.

 

Reconciling your bank or credit card accounts means matching the balances recorded in your MYOB company file, to those on your bank statement.

 

All the accounts you set up as account type bank or credit card will appear in this window.   However, you only need to reconcile those accounts – such as the Cheque Account – that correspond to physical bank accounts for which you receive bank or credit card statements on a monthly basis.   Other accounts, such as petty cash, undeposited funds, etc are set up as bank clearing accounts, and only need to be reconciled each quarter before you send your MYOB file to us.

 

It is vitally important to the integrity and accuracy of your data that for the MYOB accounts which correspond to your physical bank accounts, you perform bank reconciliations frequently.

 

?                   You can select an account and clock the Reconcile Accounts button to open the Reconcile Accounts window.

 

Once you have reviewed your reconciled accounts, click Next.   The Data Exception Review window appears.

ISSUE 13      DATA INTEGRITY – Data Exception Review

 

Continuing on the last newsletter on the Company File Overview, the Data Exception Review checks your transactions for exceptions to data integrity.   If the review finds any exceptions, you can directly open the appropriate report from this window to help you track down the source of the exception.

 

In the Start Date and End Date fields, enter the dates for the period you wish to review, and then click the Run Review button.

 

This new review brings together in one place all the exception reports.   You can see where there are any exceptions within each of the reports, and then allows you to print each of the reports if required.

 

Once the review routine is performed any areas of concern within the data file are marked with a red question mark ? .

You then click the display button to view the relevant report.

ISSUE 14      DATA INTEGRITY – Exception transactions

 

These reports are critical .   If any of the reports in the Data Exception Review has issues i.e. a red question mark ? do not ignore them; the issues presented must be resolved before we can work on your file to prepare your accounts.   If you do this review at least on a monthly basis prior to your month end procedures, then the issue will not be ongoing and will not result in any loss of data in the long term.

 

Accounts Receivable/Payable/Inventory accounts may be out of balance through an entry that was not processed through the Sales, Purchases or Inventory modules.   The most common error is when a user does a direct General Journal entry against the linked Receivable, Payable or Inventory account.

 

Previously, it was very easy to quickly identify if it was out of balance, but the process for tracking down the offending entry was not easy at all.

 

Now if you have a red question mark ? on your Data Exception Review you know immediately if there is a problem.   You then display that report and it will give you a list of possible causes for the exception.   You can then drill down to the entry/s that caused the problem and affect a fix.   If you can identify the problem but still don’t know how to fix it, please give us a call to assist you.

 

N.B. In recording transactions in your MYOB data file you must NOT post directly to the Control Accounts.   These control accounts are set up as linked accounts and are altered automatically when the correct transaction is recorded.

 

 

Future Dated Transactions Report – One of the most common reasons for problems with Bank Reconciliations is either forward dated transactions or forward dated Bank Reconciliations.   This report enables you to check that all entries that have future dates are correct, and if they are not enables you to drill down and fix them.

 

Prepaid Transactions Report – Any items on this report may indicate an advance payment or invoice.   If so, this is fine and you do not need to correct it.   However, it could also indicate an incorrect date on the receipt or invoice.   If it is an error, you will need to reverse the incorrect transaction and re-record it with the correct date.

 

Prepaid Transactions can have the following effects:-

  • They can put the Receivables and Payables out of Balance
  • BAS Reporting – different types of correct prepaid transactions need to be treated differently in your BAS reporting requirements and need to be dealt with separately, please contact us if this is the case

 

ISSUE 15      DATA INTEGRITY – Exception transactions

 

 

Review Audit Trail Changes Report – Using this report you can:-

  • Audit your company file for assured accuracy
  • Easily locate changes made to the company file
  • Know who made the change (provided everyone has their own separate login), what the change was and when it was made
  • Track any change made within the company file, by user and date

 

One of the major problems is keeping track of changes to past entries.   This is critical in the whole data accuracy process, and changes made can often impact on prior GST Reporting periods and need to be managed through the next reporting periods.

 

The Audit Trail is designed to track changes made to certain transactions or Master record items.

 

It enables you to quickly identify those changes between a particular period, and from that report manage the requirements in regards to ensuring good quality accounting data, and that appropriate things are done to ensure correct GST reporting.

 

Tax Amount Exceptions – It is very important to use tax codes correctly in your MYOB company file.   Each tax code relates to different fields in the BAS form and correct usage of tax codes will ensure your GST calculations are accurate.

 

To ensure you use tax codes correctly you should set up default tax codes which help speed up data entry and avoid errors.   Within your MYOB company file you can set up default GST tax codes in the following areas:

  • Accounts
  • Inventory Items
  • Customer/supplier cards

 

To check your data file to see if any of the default tax codes have been changed you can run the Tax Code Exception (sales and purchases) reports.   The report will indicate an entry only where the default tax code that is in the data file and the actual tax code used in the particular entry, are different.

 

This should always be done as part of your normal procedures prior to finalising your BAS statement

 

ISSUE 16 – Recurring Transactions

 

To set up a recurring transaction

 

  1. Create the transaction in the usual way

 

 

  1. Click the Save as Recurring button.   The Edit Recurring Schedule window appears.
  2. Enter the required details for your recurring transaction.

 

Future Transactions can be recorded in a number of ways:-

  • If the Alert is set it can be recorded automatically
  • If the Alert is set you can receive a pop up reminder from within your data file
  • By clicking the Use Recurring button on a blank transaction
  • By using the Recurring Transactions from the list menu in the data file
